Ugh. My office does the exact same thing: you call up a letter written last June and it automatically updates the date to today's date. If there's a way to dodge that, I haven't found it.

I have the same problem with computer files. I noticed the Windows explorer has the following date settings:
date
date accessed
date acquired
date archived
date completed
date created
date last saved
date received
date released
date sent
date taken
date visited
I miss the old DOS structure where the only date was the date last saved.
