Even having the info on a flash drive or other device can get the OP in trouble, even if it never leaves the office. Employers don't shit around with information security.
Keeping the info on a cleverly-hidden computer file may be all that can be done, and if it's lost it's lost. Better for that to happen than the OP to be fired over an information security issue.Knowledge is power. Power corrupts. Study hard. Be evil.

Printed or photocopied documents, on the other hand, don't disappear in a puff of digital smoke if/when the system goes down, or if someone in IT is pals with Mr. Goodhair (don't say it can't happen - it HAS happened). Of course, materials like these must be kept securely on-site to avoid privacy issues. However, I would not let on - to ANYONE - that I'm keeping those records, because once a paper trail is discovered, efforts will be made to put a spin on it or make it vanish entirely.

This is true, but I would think it's harder to make paper copies discreetly. What if Goodhair or one of his buddies gets to the printer or the copier before the OP does?
I dunno, maybe I'm just thinking of all the ways this can go wrong when I really shouldn't. I just got subjected to the swamp's information security training again last week. I admit, I'm probably overparanoid. It's just I know the kind of shit that goes on in some offices - particularly when there's a lot of money flowing around. I've seen smarmy bastards like Goodhair before and I know they wouldn't think twice about implicating someone else for their misdeeds. We already know he got the job by being buddies with someone higher up - and in light of the mystery surrounding his dismissal from his last job, I tend to think that the people that brought him in can't be trusted either, and in a situation like that, massive documentation might just be the only defense a person has.

you should get one of these to store those files. Maybe two. I also would get a nice safe deposit box (the cheapest one available) and store one of them there.
p.s. there are other models besides the one i linked to. All are encrypted usb devices. Ugh. Even if it wasn't for his questionable ethics... Today when I got back from lunch, Goodhair brought me a stack of papers and says, "I see your desk is empty." I looked at the stack of paid loans I still need to process, and the stack of paid loans I did this morning, and responded "my desk may look empty, but it's not." So he gives me the stack of papers to organize for him. He says "when you have time." So I put it under the stack of paid loans I need to do this afternoon. I'll get to it when I get to it.
My desk is organized, not empty. I have a stack of things I need to get done today. Goodhair's desk is always covered with crap, but that doesn't mean he's busy.
ETA: And then, when I'm away from my desk, he mixes up my to-do pile to get into something from the file he gave me. He takes off the rubber band that I put around the stuff he gave me (so it wouldn't get mixed up with the other stuff I have to do), and then puts the rest of the pile out of order. That stack of papers Goodhair gave me was a loan file. The loan was purchased from another bank the last week of October. It was then rewritten from the business name to the owners' names the last week of November. I get the impression that Goodhair thinks this will keep the tax liens against the business from affecting the loan. I don't think that's going to work.
When we bought the loan, the old bank signed an Assignment of Mortgage to us. That should have been recorded with the county last month. It wasn't. With the modification last week, Goodhair asked me to prepare a Modification of Mortgage to be recorded with the county. There's a place on the Modification to reference prior Modifications, but as far as I can tell, there haven't been any. There should have been. The original mortgage was written in April 2010 and matured in October 2010. There should have been a Modification then. Instead, there was a Forbearance Agreement (which is the first indication this is a bad loan). But the Forbearance Agreement was never recorded with the county. That's not a big deal, but the fact that the Forbearance Agreement moves the maturity date to October 2011, and there's no further Forbearance Agreement or Modification of Mortgage after that IS a big deal.
Additionally, there's no title work to see if there are other mortgages against the properties (their store and their home). That shouldn't be an issue as long as we're the first-place mortgagee (which the title work done in 2010 supports), but it's standard procedure to get title work when booking a new loan.
These same customers opened a checking account with us, with the intention that they'd be setting up automatic payments out of it for their loan. Their first payment date hasn't come yet, but they're already overdrawn.

I forgot to mention the reason(s) we bought this loan from the other bank instead of just doing a new loan for the customers. The primary reason, I think, is because of those tax liens. We need our mortgage to be in first place, ahead of the tax liens. The other reason is that the customers wouldn't qualify for a loan if we did it outright. TBH I didn't completely understand all of that. But I would think tax liens would come _before_ everything else. The government gets their cut and to blazes with everybody else!
The whole thing smells worse than week-old fish, just another Goodhair loan waiting for the bottom to fall out of it...

I'm not sure if the tax liens would take precedence or not, but the thing that makes me go
is that we knew about the tax liens before we bought the loan, and we still bought it. And the title work would have shown if the tax liens were against either of the properties we have a mortgage against. All I can figure is that Goodhair is either buddies with the business owners, or he's playing politics, since the owners are on the tribal council. But then, I've already complained about the state of the loans through the tribal council.
